NOTIFICATION OF ACADEMIC OR ADMINISTRATIVE POSITION
OPENING (NAPO)
The NAPO is used to open searches for unclassified positions.
- A regular search is required (and therefore a NAPO is required) for
unclassified appointments of two terms (or six months) or longer at
an appointment percent of 50% or greater.
- Part-time, temporary and limited duration appointments that do not
require a regular search (less than 50% and less than two terms or six
months) can be made for officers of instruction or research through
the open
applicant pool process.
- "Direct hires" will be considered on an exceptional basis
only and should be submitted to the Affirmative Action Director with
a memo explaining the exceptional circumstances.
If the position is for a period of more than one year, it is essential
that the NAPO identify the recurring funds that will be used to support
the position.
| Until a NAPO packet is approved by both the Office of Affirmative
Action and Equal Opportunity and the President or appropriate Vice President/Vice Provost, no
position or search is authorized, and it should not be advertised. |
Approval of the NAPO only authorizes the announcement of the opening
and the commencement of a search. It does not guarantee that a Request
to Offer Academic Appointment will be approved at a later date (e.g. if
there are no longer sufficient funds to support the position).
In filling out a NAPO, the following elements are required:
AA Posting
Box
The Office of Affirmative Action will fill this in.
HRIS Position
#
Use the established position number for the incumbent or a pooled
position number when appropriate. If a new position number needs to
be created, leave the space blank on the NAPO, and a new number will be
asssigned by Unclassified Personnel Services as part of the approval process.
Position
Title
Indicate the title you have given to the position. An accurate title is
especially important for Officer of Administration positions. The title
in any subsequent Request for Campus Visit or Request to Offer Academic/Administrative
Staff Appointment must conform to that approved in the NAPO. Any change
to the title from what is on the NAPO requires justification and approval.
Annual Basis
Check either 9-month (academic year only) or 12-month (all other).
Appointment
Percent
List the appointment percent (or FTE) for the proposed position.
Full-Time
Annual Rate
Complete the annual base rate range for the position at 100%. Use of
a range is preferred because the annual base rate on the Request to Offer
will need to conform to that on the NAPO. Any differences in the annual rate
require justification and approval.
Type of Appointment
Select the appropriate type:
- Fixed Term: for a specified period of time, non instructional.
- Academic: for officers of instruction.
- Emergency: for unusual situations requiring special
approval.
Period of
Appointment
Fill in the anticipated appointment dates. Contracts are usually for no
more than one year. Contracts may be allowed for up to two years for administrators
that report directly to vice presidents or if there are visa considerations.
The Faculty
Handbook provides more information regarding contract years.
For 12-month employees, it is good practice to issue employment contracts
to match the fiscal year cycle (July 1 through June 30). For new employees,
it is often appropriate to offer a full year contract; upon renewal, dates
can be adjusted to conform to the fiscal year.
Rank
Indicate the academic rank that is commensurate with the duties, education,
and experience required for the position. Please refer to the Faculty
Handbook for definitions and qualifications for all ranks. Rank is
required for most instructional and research positions. Rank is not assigned
to administrative positions. The rank in any subsequent Request for Campus
Visit or Request to Offer Academic Staff Appointment will conform to that
approved in the NAPO.
