Enter the position number. If you use the search function, use a Shift-F3 command to return the selected numbers. The suffix will fill in automatically, based on the employee's history with that position number. A suffix "override" checkbox is available for the rare situations that will require it.

Contract Dates

Indicate the beginning and ending dates of the appointment for which funds are currently available. If the appointment is for an officer of instruction for only part of an academic year, the correct term dates are:

The dates used on the contract represent an even division of the 9-month academic year used at this institution. By the signature on the contract, the employee agrees to complete the duties and responsibilities of the position for the term or terms employed.

First-time appointments for Officers of Administration are for one year. Only administrators who report directly to vice presidents are issued contracts for up to two years.

Summer wages can be paid to 9-month appointees during the period 6/16-9/15, (5/16 – 8/15 for Law) without further contract. This includes new appointees, so it is not necessary to begin tenure-related contracts prior to 9/16 (8/16 for Law). Information about summer pay can be noted on the contract as a “contract comment”, for example “Summer wages for 6/16-9/16/04 at 50%”.

Contract Type

Note that different information may appear on the various RTO forms. Each RTO contains only those items that are applicable to that particular type of appointment. Select the correct contract type letter from below and enter it.

A. Officer of Administration. For employees who serve in administrative positions. This contract carries timely notice. It can be issued for up to two years at a time although this is generally for OAs who report directly to vice presidents. No administrative contract can be offered for more than two years without the permission of the Chancellor's Office.

AAAD. Officer of Administration, Athletics Administrators. For athletics administrators.

B. Officer of Instruction, Tenure-Related. For faculty members in tenure-related positions in academic disciplines. This contract can be issued for up to three years at a time.

C1.  Officer of Instruction, Career Instructor, Non-Tenure-Related, Fixed-Term.  For career instructors in years one through three of UO service, without indefinite tenure, who have the special skills or experience needed in certain clearly defined positions in instructional programs. Must be at least 0.50 FTE.  This contract cannot be made for more than one year at a time, does not carry timely notice and is not eligible for sabbatical leave.

C2.  Officer of Instruction, Career Instructor, Non-Tenure-Related, Fixed-Term.  For career instructors in years four through six of UO service, without indefinite tenure, who have the special skills or experience needed in certain clearly defined positions in instructional programs.  Must have nine terms of service of at least 0.50 FTE.  This contract cannot be made for more than one year at a time.  Carries timely notice.  Not eligible for sabbatical leave.

C3. Officer of Instruction, Career Senior Instructor, Non-Tenure-Related. For career senior instructors without indefinite tenure who have the special skills or experience needed in certain clearly defined positions in instructional programs. Must have eighteen terms of service of at least 0.50 FTE. This contract can be issued for up to two years at a time and carries timely notice. Eligible for sabbatical leave.

C4.  Funding Contingent Appointment, Career, Fixed Term, Non-Tenure-Related.  For career research and instructional appointments at the ranks of Research Assistant, Senior Research Assistant, Research Associate, Senior Research Associate, Instructor and Senior Instructor for which external funds are the basis of support.  Some support from general funds may be included.  Must be at least 0.50 FTE. This contract does not carry timely notice or eligibility for sabbatical leave.

D. Officer of Instruction/Officer of Research, Adjunct, Clinical, Visiting, Part-time, Short-term. For academic appointments at the ranks of instructor, research assistant, research associate in non-regular, non-tenure-related positions.  May include research on general funds.  This contract can be issued for up to one year at a time and does not carry timely notice or eligibility for sabbatical leave.

E. Funding Contingent Appointment, Fixed-term, Non-Tenure-Related. For academic appointments at all ranks, but usually at the ranks of research assistant, senior research assistant, research associate, or senior research associate, for which external funds (i.e. grants, gifts, income) are the basis of support. May include some support from general funds. This contract can be issued for up to one year at a time and does not carry timely notice or eligibility for sabbatical leave.

F. Officer of Administration, Fixed-term, Annual renewal, Non-tenure-related. For administrative appointments. This contract cannot be made for more than one year at a time and does not carry timely notice.

FAAD.  Officer of Administration, Athletics Administration, Fixed-Term.  For athletics administrators.  This contract does not carry timely notice.

FCH. Officer of Administration, Athletic Coaches. For intercollegiate athletics coaches.

FPR. Officer of Administration, Post Retirement, Fixed Term, Annual Renewal, Non-Tenure-Related. For administrative appointments limited to1039 hours in a calendar year based on PERS rules. This contract cannot be made for more than one year at a time and does not carry timely notice.

X. Unknown.

Faculty members in tenure-related positions who are given timely notice should be switched to Contract Type D for their final appointment (Faculty Type D20 and Position Number BUOFF9).

Action

Select from drop down menu:

  1. New to Campus. If the candidate has not previously been employed in any position at the UO.
  2. New Appointment. Candidate has not been employed in the position for at least one year, or if the appointment is in a new position or in a different department.
  3. Renewal. An appointment without interruption, or with a break of no more than twelve months.
  4. Revision. For a contract that has already been issued. Each revised contract must have its own appointment number and the revised RTO number must be referenced. See "Revises" below. Simple appointment percent changes that do not effect benefits eligibility (such as 50% to 75%) can be done on a PRF and does not require a contract revision.

Faculty Type

The faculty type is a combination of the contract type and the EEO skill code (i.e. A30 or D20). The skill code is assigned by Affirmative Action when the NAPO is done, and it should fill in automatically further down on the Appointment Tab. Click on the magnifying glass to see all the possible contract type/skill code combinations. The four most common skill codes are listed below:

  1. 10 Executive: For academic/administrative staff whose assignments involved major responsibility for management of the University, e.g., the president, vice presidents, deans, associate deans, and directors of major administrative units. (An assistant dean is sometimes placed in this category, depending on the nature of the position's responsibilities.)
  2. 20 Teaching-Research: For academic staff engaged in instruction, research, or public service. (Academic department heads are included in this category if at least 50% of their job is committed to instruction/research.)
  3. 30 Professional: For academic/administrative staff whose assignments require either college graduation or specialized professional training but whose principal activities are administrative rather than instruction, e.g., librarians, counselors, physicians, and some directors and department heads if more than 50% of their job is administration.
  4. 40 Office Support: For those administrative staff that are engaged in managing an office and the staff.

There are two kinds of faculty type exceptions:

  1. Retiree faculty types are ROA (Retired OA), RTR (Retired Faculty Non-TRP). Faculty type RTRP (Retired Faculty TRP) is not used on RTOs.
  2. Adjunct and visiting instructor faculty types are DADJ20 (Office of Instruction, Adjunct), DVIS20 (Officer of Instruction, Visiting) and EADJ20 (Funding Contingent, Adjunct Teaching).

Rank

Indicate the academic rank at which the appointment is to be made. If this is a new appointment, the rank is to be the same as that approved in the Notice of Academic/Administrative Position Opening (NAPO). For renewals, the rank should be the same as the previous appointment unless it has been requested and approved by the Office of Academic Affairs to be changed. Enter N for no rank.

Changes in Rank. Procedures for improving academic rank differ depending on the original rank and the nature of the initial appointment (see the Faculty Handbook for guidance). If such a change is proposed in a renewal appointment, the memo of explanation of the reasons for the change should be submitted with the appointment request. If it is requested during a current contract then there should be a memo of explanation for the change. In both cases, a current vita and a PRF should accompany the request for change in rank.

Changes in academic rank require the approval of a dean, director/department head and the Vice Provost for Academic Affairs or the Vice President for Research & Dean of the Graduate School.

Rank Qualifier

Check as appropriate if this is an adjunct (part-time from local community) or visiting (full-time from another institution) appointment. Generally an adjunct faculty member is one who has a regular position in the community and accepts a position to teach a course or courses in his/her specialty area. The actual appointment percentage for an adjunct should be no more than 60% appointment percentage. The appointment percentage of adjunct faculty is determined in relation to the standard teaching load of the tenure-related faculty of the appointing department. Because teaching is only part of a regular faculty member's workload, the department standard teaching load should equate to a maximum of 60% for adjuncts. A visitor is usually a person who holds a similar position in an institution of higher education who comes to this campus to replace a regular faculty member or a person who accepts a temporary appointment here prior to receiving a permanent appointment elsewhere. A visitor is also a person who is asked to teach at an actual appointment percentage of 61% or more.

When the Terminal Degree is Incomplete

If at the time of the initial hire a tenure-related faculty member has not been awarded his or her terminal degree, the individual shall be issued a tenure-related contract using the rank modifier “acting”. The transmittal letter will contain the following paragraph:

It is anticipated that you will have completed the requirements for your [degree name] degree and will be able to provide this office with a statement or certification of completion of degree requirements prior to September 16 (August 16 for Law), 20xx (start of first year). Please have your institution send the official documentation directly to me. (This institution will accept a statement or certification in lieu of actual conferral in recognition of the fact that in some instances actual conferral can be delayed.) The "Acting" designation will be removed upon completion of the [degree name] degree requirements. Should completion of the requirements not occur by September 16 (August 16 for Law), 20xx (start of first year), a one-year, fixed-term contract will be issued to you for the period of September 16 (August 16 for Law), 20xx (start of first year) through June 15 (May 15 for Law), 20xx (end of first year). Continuation of this appointment beyond June 15 (May 15 for Law), 20xx (end of first year) is contingent upon actual conferral of the degree by June 15 (May 15 for Law), 20xx (end of first year).

The following statement should be included in the "Comments to be included on Contract" box on the Comments Tab:

The “Acting” designation will be removed upon completion of the Ph.D. degree requirements. Should completion of the requirements not occur by September 16 (August 16 for Law), 20xx (start of first year), a one-year, fixed-term contract will be issued to you for the period of September 16 (August 16 for Law), 20xx (start of first year) through June 15 (May 15 for Law), 20xx (end of first year). Continuation of this appointment beyond June 15 (May 15 for Law), 20xx (end of first year) is contingent upon actual conferral of the degree by June 15 (May 15 for Law), 20xx (end of first year)

If the individual completes the degree requirements and is issued a certification or statement of completion, the tenure-related contract remains in place. Should an individual who is issued the one-year, fixed-term contract receive the degree during the first academic year, upon the recommendation of the department and the dean, a tenure-related contract with a start date of September 16 (August 16 for Law) of the second academic year will be issued, and the tenure clock will commence effective that date.

Title

The title will often be the same as the rank assigned to the position. Titles that aren't the same as the rank are normally only for administrative positions (e.g., Department Head) or for specialized functions (e.g., Academic Advising Counselor). Titles are limited to 30 characters. See the BANNER Guide's chart of suggested abbreviations.

Changes in Title. Changes in title require the approval of a dean, director/department head, the appropriate Vice President/Vice Provost, and sometimes the Office of Affirmative Action and Equal Opportunity. You must submit a PRF and justification for the change.
