The “Comments” tab allows the preparer to indicate whether an accompanying informal offer letter from the department should be transmitted with the contract and to record a variety of other comments.
SAMPLE COMMENTS TO BE INCLUDED IN CONTRACT If an employee is to be paid on an hourly basis: "Pay to be determined by workload." If an instructor is being hired to teach a class that could be cancelled due to low enrollment, the employment contract should include wording that makes the appointment contingent upon a separate administrative decision. The recommended procedure is to provide adjunct or visiting instructors with a departmental letter that describes the details of their assignment: “Contract is dependent on conditions in departmental letter dated xxx, including sufficient course enrollment.” Please include a copy of the departmental letter with the RTO packet. For tenure-related appointments when the department head writes a separate letter: "The terms and conditions of <department head name>'s letter of <date> are incorporated herein." (Please include a copy of the departmental letter with the RTO packet.) For a new tenure-related faculty hire, contract comment must include: "Eligible for salary increases effective September 16, 20xx." The effective date is a year following the initial start date. If an appointment is contigent on receipt of a degree: "Contract is contingent on receipt of __ degree prior to the start of the contract." When a non-instructional employee teaches a class to be paid as overload, a instructional contract with a contract comment is required.
